Data & Account Deletion

1. Important: StafFixHR is an employer-managed HR system

StafFixHR is a workplace platform used by organizations to manage their own employees' HR records (attendance, payroll, leave, documents, and similar). Under data-protection law, your employer is the data controller of your employee record and StafFixHR acts only as a data processor on the employer's behalf. See our Privacy Policy for full details.

Because the employer owns and controls the employee record, an individual employee cannot unilaterally erase their HR data from inside the app. Deletion is handled through the routes below.

2. How to request deletion

If you are an employee

Contact your organization's HR administrator. They control your record and can update, deactivate, or request deletion of it in line with their own retention policy and applicable law. This is the fastest and correct route for employee data.

If you are an account holder / employer (admin)

To request deletion of your StafFixHR account and the associated company data, submit a request through our contact form. Tell us the company name and the account you want closed. We will verify the request comes from an authorized administrator before acting.

Escalation

If you are an employee and cannot reach your HR administrator, you may also use our contact form to escalate. Where we are the processor, we will forward the request to the employer (the controller) who is responsible for deciding on it.

3. What is deleted, and what is retained

On an approved deletion request, we delete the account login and the personal profile data we can lawfully remove from active systems. Backups containing the data are overwritten on their normal rotation (within 365 days).

Some records must be retained even after a deletion request, because the law requires it or because they are needed to establish, exercise, or defend legal claims. These include, for example:

These retained records are deleted once their legal retention period ends. This is standard for HR and payroll systems and does not prevent you from exercising your other data-protection rights (access, correction, objection) described in the Privacy Policy.

4. Timeline

We aim to acknowledge deletion requests within 7 days and to action eligible deletions within 30 days, subject to identity verification and the legal-retention exceptions above. Where StafFixHR is the processor, the final decision rests with your employer as the data controller.
