What happens if my auto-charge fails?

We don't lock you out on the first failure. Here's the grace flow.


Grace period

If Razorpay's monthly auto-charge fails:

  • Day 1-2: We retry the charge twice with 12 hours between
  • Day 3: Email you and the tenant Owner with the failure reason
  • Day 4-9: Soft warning banner inside the portal; still full functionality
  • Day 10: Account moves to PAST_DUE — write actions blocked, read-only allowed
  • Day 14: Account suspended — full lockout until payment resolved

You can re-trigger payment any time from Settings → Billing → Pay now.

Common failure reasons

  • Card expired — update on Billing → Payment method
  • Insufficient funds — top up the bank account, retry
  • Bank blocked recurring — call the bank and ask them to allow "StafFixHR" merchant
  • NACH mandate not active — typically resolves in 1-2 business days; if not, contact us

Data retention

If suspended, your data is retained for 30 days. Resubscribe and pick up where you left off. After 30 days, data is exported (we email you the archive) and deleted.
