Invite team members and assign roles
How to add HR admins, payroll admins, managers, and employees with the right permissions.
Roles in StafFixHR
There are 8 standard roles. Most teams only use 3-4.
Owner
The person who created the tenant. Full access to everything including billing.
Cannot be removed. You can transfer ownership in Settings → Owner Transfer.
HR Admin
Full access to all HR data — employees, leaves, attendance, payroll, documents, letters.
Cannot access: Billing, owner transfer, deleting the tenant.
HR Head
Like HR Admin, plus access to performance reviews and pulse surveys.
Used at companies with senior HR who own appraisal cycles.
Payroll Admin
Run payroll, manage compensation heads, file statutory returns (PF, ESI, TDS).
Cannot: Add/remove employees, manage leaves.
Manager
Approve their direct reports' leaves, view their attendance, write performance reviews.
Cannot: See other managers' teams' data.
Employee
Self-service: apply leave, view payslips, mark attendance, manage profile.
This is the default for everyone added as an "Employee".
Board Member
Read-only access to org-wide reports + financial dashboards. Used for investors / advisors.
Recruiter
Job posting, candidate screening, interview scheduling. ATS-only access.
How to invite
1. Go to Settings → Users
2. Click Invite user
3. Enter email
4. Pick a role + the tenant (if you have multi-tenant setup)
5. Click Send invite
They get a magic link to set up their account. Default password isn't generated until they click the link.
