Set up your StafFixHR tenant in 30 minutes
A guided checklist of the bare-minimum steps to take you from signup to running first payroll.
The 30-minute checklist
This is the fastest path to a usable HR portal. You can do the deeper customisation later.
Step 1 — Add company details (3 min)
Go to Settings → Company Profile. Fill in:
- Legal name + registered address (appears on payslips and invoices)
- GSTIN if you have one
- Default work schedule (start time, end time, weekly offs)
- Company logo (any square PNG works)
Step 2 — Set up payroll heads (5 min)
Settings → Compensation Heads. The default heads are:
- Basic (50% of CTC by convention)
- HRA (50%/40% of Basic for metro/non-metro)
- Special Allowance
- PF deduction
- Professional Tax
- TDS
Tweak the percentages or add custom heads (LTA, food coupons, NPS) here.
Step 3 — Add 2-3 test employees (5 min)
Employees → Add new OR import via Bulk import (CSV). For each:
- Personal email
- Designation + department
- Date of joining
- Monthly CTC
The portal auto-generates a unique Personnel Number based on your prefix (default "EMP-0000001").
Step 4 — Configure leave policy (5 min)
Leaves → Policies. The defaults cover:
- Earned Leave: 18 days/year, accrues monthly
- Sick Leave: 7 days/year
- Casual Leave: 5 days/year
Adjust to your policy.
Step 5 — Configure attendance (3 min)
Attendance → Settings:
- Choose check-in methods (Web, Mobile, Biometric, QR)
- Set the punch-in selfie policy (OPTIONAL / MANDATORY / HIDDEN)
- Add geo-fencing if you want location-restricted punches
Step 6 — Run your first payroll (9 min)
Payroll → Run for the current month:
1. System computes gross + deductions for each employee based on the heads
2. Review the Payroll Register (PDF preview)
3. Click Finalise to mark month locked
4. Payslips are auto-emailed to employees with a copy stored in their portal
